How to use the agency pricing calculator

Worked examples

5 clients, 12 posts a month

5 clients × 12 posts × 1.5 hours per post = 90 hours. At 75 USD an hour that is 6,750 in labor, so a starting retainer range of roughly 8,100 to 10,125 a month (20% to 50% added for overhead and profit) works out to about 1,620 to 2,025 per client.

10 clients, 8 posts a month

10 clients × 8 posts × 1 hour per post = 80 hours. At 50 USD an hour that is 4,000 in labor, giving a suggested range of about 4,800 to 6,000 a month, or roughly 480 to 600 per client.

How is the agency retainer estimate calculated?
It multiplies clients by posts per client and hours per post to get total monthly hours, multiplies that by your hourly rate for a labor cost, then adds 20 to 50 percent for overhead and profit to suggest a range.
Is this retainer range a guaranteed price?
No. It is a starting-point estimate built from your own inputs, not a market survey or a guarantee. Your positioning, scope, competition and client relationship all affect what you can actually charge.
Why does the range add 20 to 50 percent on top of labor cost?
Labor cost alone ignores software, management time, taxes, benefits and profit margin. A common rule of thumb adds roughly 20 percent for overhead and up to 50 percent when profit is included, though your own costs may differ.
Should I charge per post or a flat monthly retainer?
Both are common. A flat retainer is simpler to bill and plan around, while per-post pricing scales more directly with volume. This calculator estimates a monthly retainer, which you can divide by posts if you prefer per-post pricing.
What if my hourly rate varies by task?
Use a blended average across research, creation, scheduling and reporting. If one task dominates your time, weight the rate toward what you actually spend most hours doing.
