How to build a monthly social media report

  1. Pick the reporting month. Choose the month the report covers; it is written into every generated row.
  2. Tick every platform you report on. Select each platform you manage — the download gets one row per platform, ready for its own numbers.
  3. Download the CSV. Download the file and open it in Excel or Google Sheets.
  4. Pull the numbers from each platform. Copy followers, reach, impressions, engagements and link clicks from each platform’s own analytics into the matching row.
  5. Add a top post and any notes. Note the month’s best-performing post and anything that affected the numbers, such as a campaign or an outage.

A 3-platform monthly report

Ticking Instagram, LinkedIn and Facebook for October produces 3 rows, one per platform, each already carrying "2026-10" in the Month column.

A white-label-ready starting point

What each column in the report is for

Platform
The account this row reports on. One row per platform you tick.
Month
The reporting month, as YYYY-MM.
Starting followers
Follower count on the first day of the month. Left empty for you to fill in.
Ending followers
Follower count on the last day of the month.
Net follower growth
Ending minus starting followers — a plain subtraction, not a formula, so it survives a spreadsheet-to-spreadsheet copy.
Posts published
How many posts actually went out on this platform this month.
Total reach
Unique accounts your posts reached this month, from the platform’s own analytics.
Total impressions
Total times your posts were displayed, including repeat views.
Total engagements
Likes, comments, shares and saves combined for the month.
Engagement rate (%)
Total engagements divided by reach (or followers), as a percentage.
Link clicks
Clicks on links in your posts this month, from UTM-tagged link analytics if you use them.
Top-performing post
A short description or link to the month’s best post, for context in the report.
Notes
Anything worth flagging — a campaign, an outage, a one-off spike.

Monthly social media report template FAQ

What should a monthly social media report include?
At minimum: follower growth, posts published, reach or impressions, total engagements, engagement rate, link clicks and a note on the top-performing post — the 13 columns this template generates.
Where do the actual numbers come from?
This template only generates the row structure — the Platform and Month columns. Every metric column is intentionally left blank for you to fill in from each platform’s own analytics dashboard.
How is engagement rate calculated?
Total engagements (likes, comments, shares and saves) divided by reach or by follower count, expressed as a percentage — SkedCast’s engagement rate calculator computes this from your own numbers if you want the formula automated.
Can I use this for a white-label client report?
Yes — the same row-per-platform shape works for a single client; duplicate the spreadsheet per client and adjust the branding around it yourself, or see the white-label report template for what to add.
Does the CSV pull live data from my social accounts?
No — this is a client-side structure generator only; it does not connect to any account or platform API, so nothing is fetched, uploaded or stored.
Can I add more metric columns?
Yes — the downloaded file is a plain CSV, so you can add, remove or rename columns in your spreadsheet after downloading.
